Head of Conveyancing

A new and exciting opportunity has arisen in our busy and fast paced conveyancing department for Head of Conveyancing.

We are looking for a Solicitor with 3 years +Qualified in conveyancing

You can be based in any of our 3 offices, Cardiff, Llanelli and Ammanford.

We are open to hybrid working also.

 

MAIN PURPOSES OF JOB:

  • To lead, manage, grow and develop the Conveyancing department to ensure it achieves the highest possible standards of excellence.

  • Working to meet targets, reporting to the Operations Manager with the progress as the main fee earner. Organising their own personal workload and delegating to the staff of the department.

  • Delivering a service to clients of the highest quality and standards that follow through the department.

ROLE & RESPONSIBILITES:

  • Review workload and progress of the department

  • CQS

  • Conduct team meetings once a month with the department to ensure a monthly strategy is put in place with targets set

  • Carry out staff & team performance reviews

  • To inspire, motivate, encourage and support department staff

  • Last Monday of every month evidence of targets being achieved by the department via a spreadsheet/email along with update on complaints sent to the Operations Manager.

  • Deliver fee and company targets alongside the Operations Manager and ensure the department achieve monthly and year-end targets.

  • Time Record all forms of work on a daily basis including phone calls, enquiries and requests, and handling them when appropriate. Actioning to ensure a response to calls, where necessary.

  • Managing the department’s time effectively, prioritising tasks to ensure that deadlines are met

  • Keep files well organised and updated in accordance with the firm’s policies

  • Reviewing and managing WIP and client financing in relation to ongoing matters,ensuring clients are spoken to on a fortnightly basis if necessary or explain the expectation to the client basis to keep communication open with clients to lower the risk of complaints

  • Client complaints within the department

  • To use Leap for all emails, letters, reports and correspondence and ensure other team members use it correctly to identify training needs

  • Compliance with Company standards and procedures

  • Responsibility for unpaid costs, unbilled disbursements and review WIP

  • Initial consultations

  • Ongoing case management

  • Management and development of departmental precedents

  • Client relationship management

  • Networking and business development for new business

  • Cross selling within the department and other departments in the firm if possible

  • Manage a caseload of new build property matters from inception through to conclusion; including, sales & purchase, re-mortgage, transfers of equity, right to buy, shared ownership schemes and lease extensions

  • Liaise directly with clients, estate agents and lenders
